Managing Account Responsibility
Workforce Manager uses a flexible, hierarchical system for 'Key' Account Manager assignments. This allows you to manage large portfolios efficiently while maintaining the ability to define responsibility for individual locations.
1. Global Assignment (Managing Agent Level)
Assigning an Account Manager to a Managing Agent acts as a "Master" setting. Once designated, every site associated with that agent will automatically inherit and display those manager details. This is the most efficient approach for standard account structures.
2. Direct & Individual Assignment (Site Level)
You can also manage assignments directly within the Site Record. This serves two purposes:
-
Standalone Assignment: You may assign an Account Manager directly to a site without ever setting one at the Managing Agent level.
-
Manual Override: If a Managing Agent assignment already exists, selecting a manager at the Site level will override the global setting for that specific location.
Practical Example: If a Managing Agent is responsible for 60 sites, you can set one primary Account Manager for the agent. However, if specific sites require a different point of contact, you can manually select an alternative manager within those individual Site Records. The system will always prioritise the Site Level selection over the Managing Agent default.
Visibility: Whether assigned globally or individually, the Account Manager’s details are displayed prominently whenever a site record is opened, ensuring immediate clarity on who owns the relationship.
The image below illustrates a Company Record where a specific Account Manager has been designated.

Similarly, the following image illustrates how the Account Manager is displayed within an individual Site Record.

Clicking the edit button allows you to select / reselect an Account Manager

It is possible to allocate a colour for easy identification of the Account Manager when visiting the site record by clicking the colour picker square to the right of the dialogue.

Diary Management: Filtering by Account Manager
You can refine your Diary view to focus exclusively on jobs assigned to a specific Account Manager. This is particularly useful for managers overseeing dedicated portfolios.

How to Apply the Filter
-
Locate the Right-Hand (RH) menu column on the Diary screen.
-
Use the 'Key' dropdown list to select the desired Key Account Manager.
-
The Diary will instantly update to display only the jobs associated with that individual.
Important: Filter Persistence
Please Note: The system is designed to remember your filter settings across sessions. If you navigate away from the Diary or log out, the filter will remain active until manually cleared.
To avoid confusion and ensure you are seeing the full schedule, always check the 'Key' dropdown if the Diary appears to be missing jobs. To view all records again, simply reset the filter to the default (No Filter) setting.
