Document Templates for Speedy Results

A template is not just a quick method of converting data into instant documents, they also contain your corporate identity, so its important to spend some time to get it right. Take a look at today's post for some interesting points.

I was working on some document templates for one of our customers today and it occured to me just how many variations of a similar document we have. Its an interesting point for us as AutoVu has a built in template editor that we use for this very purpose.

Our templates include;

  • Basic documentation
  • Purchase orders
  • Quotations
  • Invoices
  • Credit Notes
  • Receipts

There are a number of custom templates designed for Certificates and Declarations of conformity which includes LOLER testing etc, the list is continuously growing, however not everyone needs such an array. Further to this, all of our blogs including this one are created and published directly from AutoVu using the template editor.

Although the ability to edit your own templates is available, were often asked to help out, which we're happy to do. On the back of an existing designs its a fairly quick job to come up with something unique for each new customer. Clearly its important to keep your identity through each form produced.

Automatic insertion of references

A great feature is the ability to automatically include document references, dates, signatures etc. This can greatly speed up the preparation of any document. Once the template is produced, there is often nothing additional to add at the time its used within a customer record.

Lets use an invoice template as an example;

An installation has just been completed and you want to raise an invoice to send to your customer, within a few clicks of the mouse you have an invoice prepared without typing a single word. AutoVu collects all the necessary information as the job progresses which includes site address, the main contractor or local authority, and the product details etc. These are automatically embeded within the document. Of course, you have the ability to edit any part but more often than not, you have the perfect invoice first time.

So you have created a PDF invoice. Now you have options to either print it or email direct to your customer. A record of everything you have done is stored within the customer record, including a permanent copy of the document. Thats another great feature! automatic storage in the correct place so that you never have to search through window directories to find it at a later date.

I've touched on a few points there regarding our template editor, its just one of the features we have designed to make life easier at work.
